A restaurant owner's 30-minute guide to getting started with AI

If you own a restaurant, cafe, or food truck, AI can save you hours every week on writing tasks you're already doing. This guide walks you through setting up three practical AI workflows in about 30 minutes.

Workflow 1: Review replies (10 minutes to set up)

Open ChatGPT and paste one of your recent Google or Yelp reviews. Then type:

"Write a warm, professional reply to this review for my restaurant [name]. Keep it under 80 words. Thank the reviewer by name if mentioned. If positive, invite them back and mention a new dish. If negative, acknowledge the issue and offer to make it right."

Try it with 3-4 different reviews to see how it handles both positive and negative ones. Save the prompt somewhere you can find it again — you'll reuse it every week.

Workflow 2: Menu descriptions (10 minutes to set up)

Pick a few dishes that need better descriptions. For each one, type:

"Write a short, appetizing menu description for [dish name]. It includes [key ingredients]. Price: $[X]. Keep it under 25 words. Focus on flavor, texture, and presentation — not a list of ingredients."

Do a few dishes and you'll see the pattern. AI is good at making food sound appealing. You might need to adjust for accuracy — AI doesn't know if your salmon is pan-seared or grilled, so include those details in the prompt.

  • Tip: If you have a long menu, batch several dishes in one prompt: "Write 25-word descriptions for each of these dishes: [list them]."

Workflow 3: Social media posts (10 minutes to set up)

Take a photo of today's special, a behind-the-scenes moment, or a plated dish. Then type:

"Write an Instagram caption for a photo of [describe the photo]. My restaurant is [name and type]. Tone: [casual/upscale/fun]. Include a call to action and 5 relevant hashtags. Under 100 words."

AI generates solid captions quickly. You might want to add a personal touch — mention the chef by name, reference a regular customer, or tie it to a local event.

  • Tip: Create 3-5 captions at once and schedule them for the week using a free scheduling tool like Buffer.
